This Privacy Policy explains how Guardan collects, uses, stores, shares, and protects personal information in connection with our auto warranty website, quote and contact forms, newsletter tools, testimonials, and customer-service email. It is written for vehicle owners, repair-facility staff, and other visitors. It does not replace the privacy notices that may appear inside an issued vehicle service contract, which can add claims-specific record-keeping rules.
We designed this policy to be readable. If a section uses a defined term, the meaning stays consistent throughout. “Personal information” means data that identifies you or can reasonably be linked to you, such as a name, email address, vehicle identification details you choose to send, or a message that contains those items.
1. Scope And Static-Site Notice
The public website is a static, client-side experience. Forms validate in your browser and display a thank-you message. They do not currently post to a remote database from this front-end. Even so, if you email us, we will process that correspondence, and if a representative later records your request in an internal coverage file, this policy still applies to that file. Do not include payment card numbers in website forms or unsolicited email.
2. Categories Of Information We Collect
2.1 Information you provide
- Identity and contact: name, email address, and optional preferred plan.
- Vehicle data: year, make, model, mileage, remaining factory coverage notes, modification notes, and VIN if you voluntarily include it in a message.
- Claims context: repair estimates, diagnostic descriptions, shop names, and photos you attach by email.
- Reviews: rating, title, narrative, and plan type on the Testimonials page.
- Newsletter choices: subscribe and unsubscribe requests, including confirmation email addresses.
2.2 Information collected automatically
When you browse, standard server or hosting logs (if enabled by the host of thedermatologycenterdc.com) may record IP address, browser type, referring URL, pages viewed, and timestamps. We do not use those logs to sell advertising profiles. If a cookie banner or analytics tool is added later, we will update this policy and, where required, request consent.
2.3 Information we do not seek through public forms
We do not ask public forms for government ID numbers, full payment card data, precise geolocation, biometric templates, or health information. Please do not send them. If a contract later requires identity verification, that request will arrive through a dedicated, explained channel—not a website comment box.
3. How We Use Personal Information
We use personal information for the following purposes, each tied to operating an auto warranty advisory and administration service:
- Responding to quote, contact, review, subscribe, and unsubscribe submissions;
- Comparing plan options (Essential, Premier, Ultimate, and riders) to the vehicle you describe;
- Explaining deductibles, waiting periods, exclusions, and claims steps;
- Coordinating authorization with licensed repair facilities you designate;
- Maintaining contract, billing, and claims history if you enroll;
- Sending service messages about coverage, renewals, or material contract changes;
- Sending newsletters only if you asked to subscribe, and stopping them when you unsubscribe;
- Detecting fraud, odometer inconsistencies, or duplicate claims;
- Improving website clarity, such as which coverage questions visitors ask most often;
- Complying with accounting, tax, and legal obligations applicable to service contracts;
- Establishing, exercising, or defending legal claims;
- Protecting the rights, safety, and property of customers, shops, and Guardan staff.
We do not use vehicle data to make automated decisions that produce legal effects without human review of eligibility. Underwriting, when it occurs, is reviewed by a person.
4. Legal Bases (Where Privacy Laws Require Them)
Depending on the privacy law that applies to you, we rely on one or more of the following: your request to take steps toward a contract (quotes and enrollment); performance of an issued vehicle service contract (claims and billing); legitimate interests in answering inquiries, securing the site, and preventing fraud, balanced against your rights; consent for optional newsletters and optional reviews; and legal obligation for record retention that the law requires. You may withdraw newsletter consent at any time using the Unsubscribe page without affecting coverage you already purchased.
5. Sharing And Disclosure
We do not sell personal information. We share it only as needed:
- Service providers who host email, document storage, or payment processing under contracts that limit their use of the data;
- Repair facilities you ask us to contact, limited to information required for authorization;
- Administrators, reinsurers, or fulfillment partners involved in honoring a vehicle service contract;
- Professional advisors such as auditors or legal counsel under confidentiality duties;
- Authorities when the law requires disclosure or when we must protect against crime;
- Business transferees if Guardan is involved in a merger or asset transfer, with notice where required so that coverage obligations continue.
We do not share customer lists with unrelated marketers of non-warranty products. Social-media icons in the footer link to those networks; if you click them, those companies’ policies apply.
6. Cookies, Local Storage, And Analytics
The current static front-end does not set advertising cookies. Your browser may store form field values locally if you use autofill. If we later add essential cookies (for example, to remember a cookie-banner choice) or privacy-respecting analytics, we will describe the cookie names, duration, and purpose here. You can control cookies through your browser settings; blocking all cookies may affect some future interactive features but will not prevent you from reading coverage pages.
7. Retention
We keep information only as long as needed for the purpose collected, then delete or irreversibly aggregate it, unless a longer period is required. Typical periods:
- Unconverted quote emails: up to 24 months unless you ask us to delete sooner and no legal hold applies;
- Newsletter lists: until you unsubscribe, plus a short suppression record so we do not re-add you by mistake;
- Issued contracts and claims files: the term of the contract plus a period sufficient for limitation-of-action and accounting rules (often several years after the last claim);
- Published reviews: until you request removal or we determine the content violates our terms;
- Security logs: a rolling window measured in weeks or months unless an incident requires longer review.
8. Security
We use reasonable administrative, technical, and physical safeguards appropriate to a warranty administrator: access limited to staff who need a file, unique credentials, and careful handling of VIN and claims documents. No internet transmission is perfectly secure. You can reduce risk by sending only the vehicle details required for a quote and by using a unique email password. If we become aware of a breach affecting your personal information, we will notify you and regulators as applicable law requires.
9. International Visitors
The site may be viewed from many places. If you submit information, it may be processed where Guardan and its service providers operate. We do not tailor coverage marketing to any single country on this website, and we do not use country-based slogans in our content. Cross-border transfers, when they occur, rely on contractual protections and the necessity of responding to your request.
10. Children
Guardan auto warranty products are intended for adult vehicle owners and lessees. We do not knowingly collect personal information from children. If you believe a child submitted a form, email support@thedermatologycenterdc.com and we will delete the submission.
11. Your Rights And Choices
Subject to applicable law and to verification of your identity, you may have the right to:
- Access the personal information we hold about you;
- Correct inaccurate vehicle or contact details;
- Delete information that is no longer needed (we may retain contract records we are required to keep);
- Object to or restrict certain processing;
- Withdraw consent for newsletters;
- Ask for a portable copy of information you provided;
- Lodge a complaint with a data-protection authority in your place of residence.
To exercise rights, email support@thedermatologycenterdc.com with the subject “Privacy request.” For newsletters, the fastest path is the Unsubscribe Email page. We will not discriminate against you for exercising privacy rights; we may still need certain data to administer an active contract.
12. Vehicle Identification Numbers And Sensitive Repair Data
A VIN uniquely identifies a vehicle. We treat it as confidential operational data. We use it to confirm eligibility, prevent duplicate contracts, and match claims to the right unit. We do not post VINs in testimonials or project stories. Repair photographs may show license plates or faces; if you send them, we will crop or limit internal circulation where feasible. Tell us if an image should not be used in anonymized case summaries.
13. Testimonials And Project Stories
Reviews you submit may be displayed with your name as entered. You may request anonymization (first name and last initial) or removal. Project stories on the Projects page are generalized; they are not published with your VIN, email, or shop invoice numbers.
14. Third-Party Fonts And Libraries
This site loads the Barlow font from Google Fonts and icon fonts from a public content-delivery network. Those providers may receive your IP address as part of delivering the files. Their independent privacy statements apply to that technical transmission. If you prefer not to use those networks, you may browse with a font-blocking extension; layout will remain usable.
15. Changes To This Policy
We may update this Privacy Policy to reflect new forms, hosting arrangements, or legal requirements. The “Last updated” date will change. Material changes that affect how we use information already collected will be described at the top of this page and, where appropriate, announced by email to contract holders. Continued use of the website after an update means you acknowledge the revised policy.
16. Do Not Track And Global Privacy Controls
The static site does not currently respond to DNT or Global Privacy Control signals because it does not run third-party advertising trackers. If we introduce such technologies, we will honor legally required opt-out signals and describe our method here.
17. Contact For Privacy Matters
Privacy questions, access requests, and deletion requests: support@thedermatologycenterdc.com. Please do not include payment card numbers. If your request concerns an active claim, include the contract number if you have one, the vehicle year/make/model, and a description of the information you want reviewed. We may need to verify that we are speaking with the contract holder or an authorized representative of a repair facility.
